Why your Xero file never matches the bank

By Nima Riazati, CPA - Clarus Partners

You open Xero, glance at the balance, and it says you've got $47,000. Your banking app says $31,000. Somewhere between the two is a Saturday afternoon you'll never get back. If that sounds familiar, you're not alone - it's the single most common problem we see in trades business files, and it almost always comes down to five culprits.

1. The bank feed isn't actually reconciled

A connected bank feed is not the same as a reconciled bank account. The feed just delivers transactions. Until someone matches them off - properly, to the statement balance - the number on your dashboard is a rough guess. We regularly open files that look 'mostly done' and find the last true reconciliation was eight months ago.

2. Bank rules are misfiring

Bank rules are brilliant until they aren't. A rule set up to code 'BPAY' to materials will happily code your insurance payment to materials too. Rules don't think. Every auto-coded transaction still needs a human eye on it at month-end, or errors compound quietly for quarters.

3. The suspense account has become a dumping ground

'I'll code it properly later' is how suspense and clearing accounts turn into junk drawers. If your suspense account has a balance that isn't close to zero, those transactions aren't in your real numbers - which means your P&L is wrong by exactly that amount.

4. Business and personal are mixed together

The servo pie, the Bunnings run that's half home reno, the ute payment. When personal spending runs through the business account without being coded to drawings or a director's loan, your profit figure is fiction and your accountant's bill for untangling it at year-end is not.

5. Old invoices and bills were never cleaned up

That $4,400 invoice from March that the client actually paid by cash. The supplier bill you paid from your personal card. If they're still sitting in 'awaiting payment', Xero thinks you're owed money you're not - or owe money you don't. Aged receivables and payables need a monthly sweep, not an annual one.

What the gap actually costs you

  • BAS stress: your accountant can't lodge off a file that doesn't reconcile, so lodgement stalls while someone hunts the difference.
  • Accountant fees: every hour they spend untangling is an hour you pay for - clean files lodge faster and cheaper.
  • Bad decisions: quoting, hiring and buying gear off a wrong balance is how profitable jobs turn into cashflow holes.

How to check yours in about 20 minutes

Run through our free Xero Health Check Checklist - it's the same 15-point diagnostic we use before any clean-up: bank recs up to date, suspense accounts near zero, GST codes correct, aged invoices and bills that are actually real. You'll know within 20 minutes whether your file is in the green zone or quietly drifting.

And if it turns out the gap is months wide, that's fixable. A clean-up sprint brings the history up to date, fixes the misfiring rules and hands your accountant a file they can lodge - with the timeframe and fixed price set by what the health check finds, agreed before we start.
